1. Introduction
Font is committed to protecting the privacy of personal information the organisation collects, holds and administers. Personal information is information which directly or indirectly identifies a person. Font’s privacy policy sets out what sort of information we collect and how we collect and use that information; as well as the security measures we take and how you can access your information and correct it if necessary.
2. Policy
Font does not collect a large amount of personal information about individuals but, where we do, we treat it with care and respect.
This Privacy Policy sets out our practices regarding the collection, use, storage and disclosure of personal information. We operate in compliance with the NZ Privacy Act 2020.
The primary reason we collect, use and – where appropriate – share personal information is to enable the delivery of our products and services and to conduct analysis to assist the design and improvement of our products and services.
Our Privacy Statement, available on our website or by request, provides our stakeholders the opportunity to acknowledge, agree and consent to the terms of this Policy, which among other things includes consenting to us sharing information with third parties or agencies.
This consent is required for the use of our digital platforms, and in some cases our products and services. Depending on the product or service, where a person chooses to not provide personal information when requested, we may not be able to deliver the product or service. We will endeavour to make this as clear as possible for each product and service.
This Policy is intended to explain how we comply with the law, not to expand rights or our obligations beyond the laws listed above. If anything in this Policy does not match the law, including where the law or the interpretation of the law changes, this Policy should always be interpreted to reflect and comply with the current law.
This Policy includes examples but is not intended to be restricted in its application to such examples. Where the word ‘including’ is used, it means ‘including without limitation’.
Our digital platforms may contain links to other digital platforms which are not controlled by Font. We are not responsible for the privacy position of or any actions taken by those platforms or people associated with them.
3. Information FONT May Collect & Retain
The personal information we may collect includes email address, name, phone number and mailing and/or residential address. In certain specific circumstances, we may also collect bank and/or payment card information. We may collect personal information through a variety of channels and in a range of circumstances, including:
– when people complete forms or surveys in person, over the telephone, or on digital platforms (including registration forms, application forms and other forms such as newsletter subscriptions or registering for events
– when people or organisations create, modify, or use any accounts or registered user facilities available through our digital platforms, including joining any Friend, Donor or Patron programmes
– in the course of receiving questions, comments or other communications;
– in the course of us doing business with people or organisations;
– as people navigate through our digital platforms, certain information may be passively collected (that is, gathered without active participation) using various technologies and means, such as Internet Protocol addresses, cookies, Internet tags, and navigational data collection. Information collected may include server addresses, top-level domain names, dates and times of visits to the website, pages accessed and documents downloaded, previous websites visited, and the type of browser used.
4. How FONT Uses Personal Information
The personal information we collect will be used to provide products and services. We may also use the personal information we collect to:
– assess, fulfil and monitor applications for funding;
– update your details on our databases;
– invite to you to Font events and fundraising initiatives;
– carry out internal research and development, including planning for future funding;
– prepare communications in respect of projects and case studies (where possible, we will anonymise personal information for this purpose);
– respond to any questions or correspondence;
– manage and improve our website and any related services;
– provide people with information about a service that they are using or planning to use;
– reduce the need for people to repeatedly enter the same information;
– customise our website to suit peoples particular preferences and interests;
– where a person creates a message using our website (for the purpose of sending that message to us, or to any other recipient), send that message;
– analyse website usage, trends and statistics;
– supply people with further information concerning services which may be of interest; or
– carry out any other use that is authorised or is notified.
5. Disclosure of Personal Information
We will not disclose personal information except in accordance with this Privacy Policy and the Privacy Act 2020. We may disclose personal information to:
– any third party , if you have authorised us to share personal information with that party, or where we have provided advance notification that we may share personal information and no objection has been forthcoming;
– government or law enforcement agencies, where we believe that it is reasonably necessary to assist with the maintenance of the law;
– appropriate third parties in the interests of safety, whether of the individual or of others;
– any other agency where required or permitted by law.
6. Storage & Security of Personal Information
We take all reasonable steps to ensure that personal information is protected against loss, misuse and unauthorised access, use, modification, or disclosure. This includes storing information securely and in compliance with our obligations under the Privacy Act 2020.
FONT will take all reasonable steps to ensure that any personal information we collect is secure, accurate, up to date and not misleading.
We may store personal information in one or more physical and/or digital locations, including cloud-based platforms hosted outside New Zealand. In all cases, our access is secured with passwords and we operate in compliance with the NZ Privacy Act 2020, including our selection and management of storage locations, and how we control access to information we hold in those platforms, which we grant on an as-needed basis.
7. Access to & Control of Your Personal Information
We will, upon request, and subject to applicable privacy laws, provide a person with access to their personal information that is held by us, other than where there is an exception at law. However, we ask that you identify, as clearly as possible, the type (or types) of information requested. The Board Chair will deal with your request within 20 working days. You may request changes or corrections to your personal information at any time via our contact details on the website and below.
8. Loss of Personal Information
Despite our every effort to protect personal information, there remains the possibility that a privacy related incident could occur. In the event of loss of personal information we will:
– Seek to rapidly identify and secure the breach to prevent any ongoing breaches
– Assess the nature and severity of the breach including the type of personal information involved and the risk of serious harm to affected individuals
– Notify the affected individuals directly
– Follow the Mandatory Breach Notification Process
– Engage the appropriate authorities where criminal activity is suspected
– If appropriate, put a notice on our website advising our stakeholders of the breach.
9. How Can I Opt Out Of Receving Emails & Marketing Materials?
You may unsubscribe or opt out of email communications at any time by clicking on the “unsubscribe” link in any email you receive, or otherwise by contacting us and asking to be unsubscribed.
10. Does FONT Use Cookies?
Yes. Cookies are small files that a site or its service provider transfers to your computer’s hard drive through your web browser that enables the sites or service provider’s systems to recognise your browser and capture and remember certain information. FONT uses these to understand your usage of our website (including your IP address, frequently visited pages and other personal information which you provide voluntarily).
11. Changes to This Policy
FONT reserves the right to change this policy at any time. Where FONT makes any changes to this policy, an updated version will be posted on the FOMT website. Your continued use constitutes your acceptance of the updated policy and any personal information collected after the policy is updated will be subject to that updated policy. We recommend that you review this policy on a regular basis to understand how FONT manages the personal information which you provide.

We are not responsible for the content of such websites, or the manner in which those websites collect, store, use, and disclose any personal information.
